OKLAHOMA FEDERATION OF NARFE CHAPTERS
Chapter Officer Duties
Every officer in NARFE chapters should be acquainted
with the publications available on
www.narfe.org that will help in the performance of their duties,
especially F-54, F-55, F-56, F-58, F-60, and F-10. Look for them
after you sign in under "Leadership" - "Publications" - "Downloadable
Forms." You can read the information online and then print the
publications you desire to keep in your records.
But, the following is a checklist of duties which are time sensitive.
Please understand what these duties are and file them in a timely
manner. If you don't know what to do, ask someone who does.
Your Federation officers will be happy to accept calls about any of
these duties. The chapter President can assign these duties to another
officer in the chapter, but should make sure that the reports are filed
on time.
January of Each Year
As soon as the December M-112 is available online
(usually about the 7th of January), finalize your list of deceased
members from the previous calendar year. You should be keeping a
list of those who pass away all year. Send this list of deceased
members to the Federation Secretary by e-mail or post. These
members' names will be read at the next State convention.
As soon as the January M-114 is available online (usually about the
15th-20th of January), note how many voting
members you have in your chapter. Send to the Federation Treasurer
your per capita dues of $2 (two) dollars per member. This will
allow your chapter to remain in good standing in the Federation and you
can send delegates to vote at the next State convention.
The M-112 and M-114 are found at
www.narfe.org. Sign in under "Leadership" - "Online
Reports" - "Chapter Reports."
Around the beginning of each year, you should receive an information
packet from the State Convention committee. Study the information
and pass it on to your chapter members so they know about the convention
and can plan to go.
March or April of Each Year
A few weeks before the next State convention, you will receive from the
Federation Secretary, a Delegate Designation sheet. Fill this out
with the list of your delegates up to the number you are authorized.
Your authorized number will be stated on the sheet. Mail it back to
the Federation Secretary by the due date.
An E-Postcard must be filed with the IRS each year in order to maintain
your tax-exempt status. Go to this link for the information you
need:
http://www.irs.gov/charities/article/0,,id=169250,00.html
This E-Postcard is actually due by May 1st, but it is easier to
remember it when you do your own tax return. You will need your
chapter's EIN number. This number should be safely protected in your files.
There is no paper form for the E-Postcard...you must file online.
Now go get a cup of coffee and relax! That job is done!
November-December of Each Year
As soon as your officers for the next calendar year are
established, file your form F-7 online at
www.narfe.org. Sign in under "Leadership" - "Forms" - "List of
Interactive Forms" - "Chapter Officer Roster (F-7)." The chapter
President's last name and NARFE ID number must be used to access this
form. Fill it out carefully and please furnish the Federation
Secretary's e-mail address so he/she will get a copy. Then please
e-mail directly to the
Federation Secretary your elected chapter President's name, address,
phone number, e-mail address, your meeting place and time. This
F-7 must be filed by the end of each calendar year even if your officers
do not change, and file it
if an officer changes during the year. National NARFE and your
Federation must have a current list of your officers.
Several Weeks Before the National
Convention in Even Numbered Years
During the weeks before the National Convention, you
will receive information about the convention. Do not throw
anything away without studying it carefully. Some of the
information deals with delegates and proxies. Even if you have no
one attending the convention from your chapter, you can assign your
proxy. That way all the chapters in Oklahoma can be represented at
the National Convention. The Federation President usually has
instructions about how to handle your proxy.
